This virtual roundtable brings together people who have a shared professional interest in this topic of adapting to cancelled conferences, meetings and other in-person events. If you’re worried about your events or even thinking about this topic, we’re sure you’ll find this super interesting.


The format

You'll have a chance to meet other event producers / hosts / planners / professionals in small group video conversations, surface the challenges emerging from this pandemic, and share and discuss ideas (including across groups) for alternative ways of moving towards common objectives in this crisis. We do ask that you be willing to share ideas with colleagues, and ideally to bring a thought on how to adapt outreach and engagement when the live meetings are cancelled. Due to the speed we are launching this conversation (among others) and the number of organizations reaching out to us for help amidst this pandemic, our team is unfortunately spread very thin and may not be able to hop on a call before this conversation needs to happen. We are inviting Event Hosts, Sponsors, Speakers, Media and other Leaders and Professionals in Event Production from around the world to contribute. We cannot say who will be in attendance on any given date, but attendees in our other roundtable conversations have included leaders from across industries- tech, government, consulting firms, etc.- and from the world’s largest brands, such as NIKE, Uber, American Cancer Society, Girl Scouts, Penguin Random House, Hewlett Packard, Kapor Center, among many others.

The VoiceVoice platform allows hosts to generate unlimited numbers of guided small group video conversations, without the host actually needing to attend. The host records (once) the facilitation elements for a purposeful conversation (such as agenda, video guidance, and activities). The platform “facilitates” up to millions of live small groups with the recorded guidance and allows those groups to discuss, navigate together, get trained, and move into action. Here’s a sample video to illustrate how this conversation format works.
One of our colleagues had a list of relevant event professionals. This is a small/early round, and you happened to be in it. In general we plan to reach out to much bigger groups, given the great response we’ve seen so far.
We designed this conversation to be an ongoing series of live group video conversations, with each new group contributing their own unique ideas and voices to the greater discussion. We will take the notes and contributions from the many group conversations and synthesize the learnings and findings into a single, powerful document to share with everyone who participated. Where the conversation goes from there, we will look to the community for your input.
You'll meet (and speak with) other professionals in small group video conversations, surface the challenges emerging from this pandemic, and share and discuss ideas (including across groups) for alternative ways of moving towards common objectives in this crisis. You will be given a series of open-ended questions for your roundtable. There will be an Agenda & Notes available - a shared, editable document where you each add in your notes. Where the conversation leads will be up to your group.
These roundtable events do not require a moderator. Unlike in webinars or video chat meetings, with VoiceVoice, there’s no live presenter or facilitator, the conversation that participants have is guided and structured using pre-recorded content that we’ve created.
This conversation is open to the public but we ask you to fully participate and bring a thought or idea to share. You are welcome (and we encourage you) to share the conversation with your networks.
